Commercial terms
OpsHQ Subscription Terms
These terms record the approved commercial conditions for an OpsHQ organisation subscription. Any accepted order form or written specialist-services quote may add agreed organisation-specific detail.
Commercial policy version 2026-07-29
1. Subscription plans
OpsHQ subscriptions are sold to an organisation rather than per committee member or administrator.
- Founding Clubs: $49 AUD monthly or $490 AUD annually, including GST.
- Standard: $79 AUD monthly or $790 AUD annually, including GST.
2. Founding Clubs price lock
Your Founding Clubs base subscription rate remains locked while your subscription stays continuously active.
The price lock applies to the base OpsHQ subscription. Optional add-ons, exceptional usage, materially higher service requirements and third-party provider charges are not included in the price lock.
3. Renewal and cancellation
Customers may cancel their OpsHQ subscription at any time.
Cancellation takes effect at the end of the current paid billing period, and access remains available until that date.
Payments already made are not refunded or credited for unused portions of a billing period, except where a refund, cancellation or other remedy is required by Australian law.
Monthly subscriptions remain active until the end of their paid monthly period. Annual subscriptions remain active until the end of their paid annual period.
Cancellation stops future renewal. An authorised administrator may reverse a pending cancellation before the paid period ends.
4. Data after cancellation
Cancellation does not immediately delete the organisation or its data.
Post-cancellation retention and deletion are governed separately. OpsHQ will provide the applicable retention and export information before a self-service cancellation is confirmed.
Customers should export required organisational records before final closure. The approved post-cancellation retention period remains a separate policy decision and is not invented by these terms.
5. Fair and sustainable usage
Every subscription includes reasonable storage, email delivery, bandwidth and platform usage suitable for a typical volunteer organisation.
Unusually high or sustained requirements may need an additional allowance or separately agreed plan. OpsHQ will discuss this before introducing an additional charge.
6. Third-party infrastructure and delivery providers
OpsHQ will not automatically upgrade a paid third-party service or apply an additional usage charge without discussion and approval.
Immediate technical limits may be applied where required to protect security, deliverability or service stability.
7. Setup and specialist services
Founding Clubs includes guided initial setup. Standard subscriptions include normal account setup and onboarding guidance. Data migration, extensive configuration and other specialist services may be quoted separately, with approval before any charge.
Where additional work is required, OpsHQ will explain the scope, provide a quote or written estimate and obtain explicit approval before starting.
8. Australian consumer rights
Nothing in these terms excludes, restricts or modifies a guarantee, right or remedy that cannot lawfully be excluded under Australian law.
